Mimosa NearPoint module automates email retention, data classification

Mimosa Systems Inc. is adding a module to its NearPoint email management platform to automate content retention by classifying, tagging and applying policies to incoming and archived mail.

Mimosa's base NearPoint archiving platform scans all content entering the archive, peels off the metadata and stores it in a SQL Server database, and then stores the content in the archive. The new NearPoint Retention and Classification Option (RCO) module automatically detects and indexes content entering the NearPoint archive, then builds an inverted search engine.

The RCO module "allows you to actively manage the archive based on simple query technology," Enterprise Strategy Group analyst Brian Babineau.

The RCO add-on uses simple queries (including words, phrases users, and attachments) to find archived content for regulatory compliance audits, e-discovery requests and archive management.

"There are a lot of clues inside these objects," says Scott Whitney, Mimosa vice president for product management.

The NearPoint platform and RCO module help administrators avoid having to impose email quotas. Most organizations still use email quotas, which Baineau says "kills employee productivity because users must manage their own inboxes, and they are scared they will trigger the quotas. Avoiding email quotas really drives the storage benefit, because you can save more messages online for longer periods of time on cheaper storage."

The RCO module also places holds on any relevant e-discovery content and important business records it finds. Through the RCO, "you can automatically detect content and set the appropriate retention period for it while it's stored inside the NearPoint platform," Whitney says.

Classification and tagging can be set by company rules, regulatory compliance requirements or e-discovery needs. The module also allows administrators to manage incoming as well as archive content. The NearPoint platform captures messages coming into Microsoft Exchange Server by monitoring its logs, which allows NearPoint to also act as an Exchange Server backup and disaster recovery solution.

According to Babineau, the RCO will help Mimosa compete with larger archiving competitors such as Iron Mountain, Symantec, EMC and Hewlett-Packard. "Mimosa is on the verge of making the leap from being a challenger to being a leader," he predicts.

Mimosa prices the NearPoint platform at about $40 a seat for 2,000 seats, and an additional $15 a seat for the RCO module. Volume discounts are available.
